Regular Full-Time, Office Summary The Customer Service and Office Manager is responsible for the management and performance of the customer service group which is comprised of 5-10 customer service representatives.
This group is responsible for communication directly with customers via phone, email, and chat support to process orders, create quotes, and answer technical questions.
This group is also responsible for managing the daily functions of accounts receivables, accounts payables, invoicing, cash receipts, preparation of shipping documentation and all other general customer service related functions.
Essential Functions The Customer Service Manager will be expected to maintain a positive team oriented environment in the office while continuing to implement, improve and refine the processes and procedures of the customer service department.
Continuous Improvement will be a primary function of the Customer Service Manager so a back ground in Six Sigma, Lean Manufacturing and Continuous improvement is strongly recommended.
Day to day, this means you will:
- Oversee and participate in the receipt of phone calls, email and chat requests for price quotes and product information from potential and existing customers, while using our CRM to create and maintain customer accounts.
- Oversee and use our accounting and customer service software to perform data entry on new orders, create production work orders, and process invoices and payments.
- Communicate and coordinate with the sales team regarding projects, lead times, pricing and production schedules.
- Work closely with the production and shipping departments to ensure consistent and accurate lead time and shipping information for all orders.
- Create, implement and document processes and procedures to ensure consistency and accuracy in the CSR department.
- Be responsible for and drive Continuous Improvement projects in the CSR department as well as participate in cross functional teams working on Continuous Improvement projects across the company.
Skills and Experience - Ability to manage time effectively, including frequent multitasking and prioritization.
- Perform frequent data entry and filing tasks with a high level of attention to detail.
- Ability to communicate clearly and pleasantly over the phone.
- Proficiency in computer skills (Microsoft Office, Google Drive, etc.
) as well as the ability to learn in-house software via on the job training.
- Familiar with AR, AP and invoicing processes.
- Use problem solving skills to resourcefully and tactfully provide solutions to unique customer questions and issues.
- A background in Six Sigma and Continuous improvement.
- Ability create and manage teams of people on short term and long term projects.
- Must be able to manage people, including performing performance evaluations.
